Refund Policy

This policy applies to workshop and course bookings made through Okapi & Co.

At a glance

Within 7 days of booking

If you change your mind after booking, you can request a full refund within 7 days of the date your payment was taken — no questions asked.

More than 7 days before the course

Once the 7-day cooling-off period has passed, we cannot offer a refund because venue and logistics costs are committed at that point. You are welcome to transfer your place to a colleague or a future date at no charge.

Transfer only
Within 7 days of the course start

We are unable to accept cancellations in the final 7 days before a workshop. Venue hire, catering, and materials are already booked and non-refundable on our side. You can still transfer your place to another person if you let us know before the course begins.

After the course has taken place

Once a workshop has run, no refund is available. If you experienced a significant problem on the day, please get in touch and we will do our best to resolve it fairly.

Why we have these rules

We run small, capped workshops (maximum 5 people) in hired venues. Once a session is planned, we commit to venue hire, catering, materials, and Claude Pro access for every seat. Those costs are fixed regardless of attendance, which is why we cannot offer open-ended cancellations close to the course date.

The 7-day cooling-off window from your booking date gives you time to check your diary, speak to your employer, or simply change your mind — without penalty.

How to request a refund

Email jim@okapiandco.co.uk with your name, the date of the workshop you booked, and your reason for cancelling. We will confirm eligibility and process any refund within 5–10 working days back to the original payment method.

Transferring your place

If you cannot attend but are outside the refund window, you can transfer your place to a colleague or a future date at no charge. Just let us know before the course begins. Transfers to a future date are subject to availability.

If we cancel or reschedule

If Okapi & Co cancels or significantly reschedules a workshop (date, time, or location), you will be entitled to a full refund or a free transfer to an alternative date — your choice. We will notify you as soon as possible and you will have 14 days to choose.

We are not responsible for any travel, accommodation, or other costs you have incurred in connection with the workshop.

Consumer rights

If you are booking as a consumer (not on behalf of a business), you may have additional rights under the Consumer Contracts Regulations 2013. The standard 14-day right to cancel for distance contracts applies to digital services unless the service has already been performed with your prior consent. For workshop bookings, the 7-day cooling-off period above is consistent with your statutory rights and in some cases more generous.
